How it works

Three steps from busywork to autopilot

Every automation is a trigger, the rules you care about, and the actions that follow. Build it once and it runs for every customer.

  1. STEP 1

    Choose what starts it

A new testimonial, a review request nobody answered, a contact joining a list, a finished import, a schedule, or a webhook from another tool.

  2. STEP 2

    Add the rules

Branch on rating, review type, source, text length, tags and more. Wait minutes or weeks, or wait for something to happen before moving on.

  3. STEP 3

    Let it run

Send emails and review requests, approve or feature testimonials, add them to widgets, tag contacts, notify your team or call an API.

AUTOMATION EXPLORER

Follow-ups that run without you

Pick a recipe and watch it run: chase people who have not replied, approve good reviews as they arrive, tell your team about a low rating before it goes public. Automations come with Pro and Agency.

Review request follow-ups

Templates

Start from 12 ready-made templates

Each template creates a flow you can edit, so you are live in minutes rather than starting from a blank page.

  • Review request follow-ups

Send a friendly reminder three days after a request, then a last-chance email four days later. Stops the moment they reply.

    Collect
  • Ask after a purchase

Your store sends a webhook when an order is placed. A week later, the customer gets a review request.

    Collect
  • New contact joins a Smart List

When someone is added to a list, wait a day and send them a review request.

    Collect
  • Move quiet contacts to a list

No reply after 14 days? Move the contact to a Smart List so you can try a different approach.

    Collect
  • Auto-approve good reviews

Approve 4 and 5 star testimonials with real text straight away. Everything else is flagged for you to review.

    Moderate
  • Low rating follow-up

A review of 2 stars or fewer sends your team an urgent alert and the customer a personal apology.

    Moderate
  • Tag by where it came from

Label reviews by their source, such as Google, so they are easy to filter later.

    Moderate
  • Feature your 5-star reviews

Approved 5-star testimonials are labelled and added to a live widget automatically.

    Display
  • Thank you for your review

Two hours after a testimonial is approved, the customer gets a thank-you email with a link to it.

    Notify
  • Alert on a new video

Video testimonials are rare and valuable, so your team is notified the moment one arrives.

    Notify
  • Imported reviews are ready

Get a notification when an import from a review platform finishes.

    Notify
  • Alert on a broken connection

If a review platform connection stops working, your team gets an email so nothing goes quiet unnoticed.

Triggers

Start an automation from almost anything

Testimonials, review requests, contacts, imports, your own metrics, a schedule or another tool can all kick off a flow.

  • Testimonials

A testimonial is received, approved, rejected, flagged or goes public, or a review you display disappears from the platform it came from.

  • Review requests

A request is sent, delivered, opened, clicked, bounced or completed, or gets no response after a number of days you choose.

  • Contacts and forms

A contact is created, joins or leaves a Smart List, gets a tag or goes quiet. A collection form is submitted.

  • Imports and platforms

An import finishes or fails, a new review appears on a connected platform, or a connection stops working.

  • Insights and milestones

Your average rating or share of 5-star reviews crosses a threshold, or you reach a review count worth celebrating.

  • Schedules, webhooks and manual

Run daily, weekly or monthly, when another tool sends a webhook, or when you add people by hand.

Actions

Everything a flow can do for you

Chain as many steps as you need. Each one can use what earlier steps learned.

  • Email customers

Send emails with merge tags, or a review request that skips anyone who has already reviewed or was asked recently.

  • Moderate testimonials

Approve, reject, flag or feature a testimonial, and pin your favourites to the top.

  • Publish to widgets

Add or remove labels, and add a testimonial to a widget or your Wall of Love the moment it qualifies.

  • Keep your team informed

Send an in-dashboard notification with a severity level, or email up to ten teammates.

  • Update contacts

Add or remove tags and Smart Lists, fill in a name or business name, or unsubscribe a contact.

  • Call another tool

Fire a signed webhook, or call any API with your own method, headers and authentication, and use the response in later steps.

Visual builder

Simple by default, with the controls when you want them

A visual canvas with the controls marketers actually use, and the guard rails that keep customers from hearing from you too often.

  • Visual canvas builder

Drag steps onto a canvas, zoom and fit to view, undo and redo. Work saves automatically, and nothing runs until you publish.

  • Conditions and branches

Up to eight named branches per condition, with AND and OR rule groups and a path for when nothing matches.

  • Waits and goals

Wait minutes, hours, days or weeks, or until a set weekday and time. Or wait for an event and branch on whether it happened.

  • A/B split paths

Send people down percentage-based paths to test two different follow-ups against each other.

  • Quiet hours and limits

Only send during working hours, skip weekends, use each recipient’s timezone, and cap how often one person hears from you.

  • Logs and history

See every enrolment, every step that ran and every webhook that arrived, with the reason a run ended. Logs are kept for 30 days.

Connect your tools

Start flows from your store, CRM or any app

Use webhooks to connect StoryProof to the tools you already run your business on.

  • Inbound webhooks

Every automation gets its own secure URL. Paste a sample event and pick the email and name fields, or let StoryProof find them.

  • Shopify, Zapier and Make

Point a Shopify webhook or a Zapier or Make step at that URL to start review requests from orders, sign-ups or anything else.

  • Signed and rate limited

Requests carry a secret token, with an optional HMAC signature check, and you can limit runs to the event names you expect.

FAQ

Automation questions, answered

What can I automate with StoryProof?

The repetitive parts of collecting and publishing testimonials: review request reminders, asking customers after a purchase, approving good reviews, following up on low ratings, thanking customers, adding testimonials to widgets, tagging contacts and alerting your team. Each automation starts from a trigger, follows your rules and runs the actions you choose.

Do I need to build automations from scratch?

No. There are 12 ready-made templates, such as review request follow-ups, auto-approve good reviews and thank you for your review. Each one creates a flow you can edit, or you can start from a blank canvas.

How do automatic review request reminders work?

The review request follow-ups template waits three days after a request is sent, sends a reminder, waits four more days and sends a last-chance email. It stops as soon as the customer leaves a testimonial, and people who have unsubscribed are never contacted.

Can StoryProof approve and publish testimonials automatically?

Yes. You can approve testimonials that meet your rules, for example 4 or 5 stars with at least 40 characters of text, and add them straight to a widget or your Wall of Love. Anything that does not match can be flagged for your team to review by hand.

Does it work with Shopify, Zapier or Make?

Yes, through webhooks. Each automation has its own inbound webhook URL, so a Shopify order webhook or a Zapier or Make step can start it. Automations can also send webhooks or call any API. There is no native Slack, HubSpot or Salesforce app.

Can I stop emails going out at night or at weekends?

Yes. Each automation can send only during the hours you set, skip weekends, use your workspace timezone or each recipient’s, and limit how many messages one person receives in 30 days.

Can I test an automation before it goes live?

Yes. Automations stay in draft until you publish them, and you can run a test on a contact. A test runs every step for real, including emails, so test with your own address. Execution logs show what each step did.

Which plans include automations?

Automations are included on the Pro, Agency and Enterprise plans, with no limit on how many you create. Review request steps use your plan’s monthly email allowance. See the pricing page for the full comparison.
