Let the people closest to customers put them forward

Customer Nomination Process for Testimonials

Account managers hear “this changed how we work” on calls every week. Support agents close tickets with customers who are delighted. Marketing hears none of it. A nomination process gives those teams a two-minute way to put a customer forward, with the detail marketing needs to write a good ask. Fill in the fields to generate the internal call for nominations, the nomination itself and the request that follows.

  • A call for nominations to send your teams
  • A nomination format that captures the story
  • The customer ask that names the nominator

The problem, solved

Why good candidates never reach marketing

  • Sales hears the praise, marketing never does

The best moment for a testimonial happens on a call marketing was not on. By the time anyone hears, it has passed.

  • We get a name and nothing else

“Ask Acme, they love us” does not say who at Acme, what result, or what to ask about.

  • Account managers worry about their relationship

Nobody wants marketing emailing their best customer cold and getting it wrong.

  • Nominations go nowhere and people stop sending them

If a nominator never hears what happened, the next win stays in their inbox.

Who is nominating
  1. Call for nominations

Send to the team once a month, in their usual channel.

Subject: Know a customer with a story worth telling?

    Hi team,

If a customer told you this month that something we did made a real difference, nominate them for a testimonial. It takes two minutes: the contact, what happened, and anything I should avoid.

I will check with you before contacting anyone, and I will tell you when their testimonial is live.

    Thanks,
    [Sam]
  2. The nomination

The format an account manager fills in.

Subject: Nomination: [Alex Rivera], [Northfield Logistics]

    Customer: [Alex Rivera], [Northfield Logistics]
    Nominated by: [Jordan]
What happened: [cut their month-end close from five days to two]
When they said it: [date and where, e.g. quarterly review call]
Best way to ask: [me personally / marketing can email]
Avoid: [open renewal, recent issue, anything sensitive]
  3. Request to the nominated customer

Subject: [Jordan] mentioned what you achieved

    Hi [Alex Rivera],

[Jordan] told me that [Northfield Logistics] [cut their month-end close from five days to two]. That is exactly the kind of story other teams like yours want to hear.

Would you share a few words about it? You can write, record a short video or leave a voice note, whichever is easiest: [collection link]

Nothing is published until you have seen it.

    Thanks,
    [Sam]
  4. Thank the nominator

Send when the testimonial is approved.

    Subject: Your nomination is live

    Hi [Jordan],

[Alex Rivera] at [Northfield Logistics] sent their testimonial and it is now approved. Thank you for putting them forward. Here it is: [link]

    Keep them coming,
    [Sam]

In StoryProof

Run nominations through StoryProof

  • You will need
  • A shared channel or form where teams can send nominations
  • One person who reviews nominations each week
  1. 1

Add each nominee to a nominated list

Create the contact and put them in a smart list for nominations, so nothing waits in a chat thread.

  2. 2

Tag the story and the nominator

Record the result and the nominating team as tags. It shapes the ask and shows which teams nominate most.

  3. 3

Send the request, or hand the link over

Email the customer from StoryProof, or give the nominator the collection link to share personally.

  4. 4

    Approve, then close the loop

Approve what arrives. From Pro, the customer can get a thank-you email two hours after approval; send the nominator the link yourself.

What happens next: Share a short note each month with every testimonial that came from a nomination and who put it forward. It is the best way to get next month’s nominations.

Before you start

Where nominations go wrong

  • Nominators may not be neutral

Some will put forward customers they like rather than customers with results. Judge each against the table above.

  • The intake lives in your own tools

This process has nominations arrive through your own channel or form. The StoryProof part starts when you add the customer as a contact.

  • Requests go by email only

If the nominator prefers to ask on a call, they share the link themselves after it.

  • Do not reward nominations by result

Paying staff per approved testimonial invites pressure on customers. Thank people publicly instead.

FAQ

Questions people ask

Short answers to what usually comes up next.

Should nominators ask the customer first?

For close accounts, yes. A quick “marketing may reach out about what you said” from the account manager makes the request feel expected.

How often should we ask teams for nominations?

A monthly reminder is enough for most teams. More often and it becomes noise; less often and the moments are forgotten.

What if a nomination is turned down?

Tell the nominator why, briefly, and keep the contact on file. The reason, such as an open renewal, often passes.

Can support nominate from a ticket?

Yes, and they often see the most grateful customers. Use the shorter format so it fits into closing a ticket.
