When a customer asks you to take it down
Handle Customer Testimonial Removal Requests
The email is short: "Please take my testimonial off your site." The work is not. By now that quote may be in three widgets, a sales deck, a social image and last spring’s newsletter. Work through the checklist below as a team so every copy you control comes down, and the customer hears back that it has.
- Confirm who is asking and what they want gone
- Find every copy, not just the website
- Record it and confirm to the customer
The problem, solved
Why one takedown turns into a search
Nobody knows where the quote is used
It went on the homepage, then someone copied it to a landing page, then into a deck. There is no list.
With StoryProof: Tag every testimonial with the places it is used, such as "homepage" or "sales deck". When a request arrives, the tags are your list.
It sits in several widgets at once
Pulling it from one page and missing the others is the most common way a removal fails.
With StoryProof: You choose which approved testimonials appear in each widget, so the quote is taken out of each widget’s selection one by one.
We forgot the Wall of Love page
The hosted page of all your testimonials is easy to overlook because nobody embedded it anywhere recently.
With StoryProof: The Wall of Love shows your approved testimonials, so it belongs on the checklist of places to check every time.
There is a social image of it
Images of a quote get posted, scheduled and reshared. They live on social platforms, outside your site.
With StoryProof: Images made in the StoryProof social image designer come from an approved testimonial, so tag which ones you turned into images and remove those posts on each platform.

Team checklist
Testimonial removal checklist
Assign one owner per request. Tick items as they are done, then paste the summary into your record.
Ticks live in this tab only. Paste the summary into your own records.
Who does what
One owner runs the request end to end. Others act on their part and report back.
In StoryProof
Set StoryProof up so removals are quick
Most of the work happens before a request ever arrives.
- You will need
- A StoryProof workspace with your testimonials in it
- An agreed owner for removal requests
- 1
Tag where each testimonial is used
Every time a quote goes into a widget, deck or image, add a tag for that place. It becomes your list of copies.
- 2
Keep publishing behind approval
Nothing goes public until it is approved, so new uses go through a person who can record them.
- 3
When a request arrives, pull it from each widget
Take the quote out of every widget selection, then check the Wall of Love page.
- 4
Handle the copies outside StoryProof
Social posts, decks, emails and ads are removed where they live. Use the tags to find them.
- 5
Confirm and mark it withdrawn
Email the customer, then tag the testimonial as withdrawn so it is never selected again by mistake.
What happens next: Once a year, pick one testimonial at random and run the "find every copy" group for it. If you find a copy that was not tagged, fix the habit that missed it.
Before you start
What this process cannot reach
Copies you do not control
Reshares, screenshots and archived versions of your pages are outside your reach. Tell the customer honestly what you removed and what you cannot.
Check each page yourself
After changing a widget, open every page that embeds it and confirm the quote has gone before you tell the customer.
This is not legal advice
If the request mentions a legal right, or your release says something specific about withdrawal, involve whoever handles legal matters for you.
Do not argue the request
Even if the release allows continued use, pushing back on a customer who wants out rarely ends well. Remove it and thank them.
FAQ
Questions people ask
Short answers to what usually comes up next.
How quickly should a testimonial come down?
Acknowledge the request the same day and remove what you control within a few working days. Tell the customer the date you expect to finish.
Can the customer ask to remove only their name?
Yes, and it is a common request. Confirm exactly what they want: removing the name, the photo or the company, or the whole quote.
What if the testimonial is in printed material?
Stop reprinting it, and tell the customer which printed items already exist. Recalling print runs is rarely practical, so be clear about that.
Should we ask why they want it removed?
You can ask gently, once, because it may reveal a problem you can fix. Never make the removal depend on an answer.
Can we keep the testimonial internally?
Keep a record that the request was made and handled. Whether to keep the content itself depends on what you agreed with the customer, so check your release.

Know where every testimonial lives
