Documents to library
Move Testimonials From PDFs and Decks
The sales deck has four customer quotes. The brochure PDF has three more, one of them slightly different from the deck’s version. A proposal template in a shared drive has a quote nobody can trace. Documents are where testimonials go to be copied, reworded and forgotten. Gather them in one pass, check where each came from, and move the ones that survive into one library.
- Sweep decks, PDFs and docs for quotes
- Trace each to its original source
- Import only the ones you can stand behind
The problem, solved
What goes wrong with quotes kept in documents, and how StoryProof sorts it
The same quote exists in three versions
Someone shortened it for a slide, someone else fixed a word in the brochure, and now nobody knows which the customer actually said.
With StoryProof: Upload one agreed version per quote from a spreadsheet, matching columns to name, text, company, job title and date. That row becomes the single source.
Nobody knows who said this
“Game changer for our team, VP Operations” has no name, no company and no trail back to a real conversation.
With StoryProof: If you can work out who it was, email them the collection link and ask them to say it again in their own words, in writing, audio or video.
Every team keeps its own deck
Sales, partnerships and customer success each have a deck with different quotes, and none of them shows up on the website.
With StoryProof: Tag each imported quote by product, segment and the deck it came from, so one library serves every team. Tags are on every plan.
Video clips are embedded in slides
A testimonial video lives only inside a presentation file, where nobody outside the sales team will ever see it.
With StoryProof: Upload the original video files directly into StoryProof, where they sit next to the written quotes.
They agreed to a deck, not the website
A quote given for a private sales presentation may not have been cleared for public pages.
With StoryProof: Uploaded rows stay unapproved until you choose to publish, so a deck only quote can wait while you ask about wider use.

Sweep your documents for testimonials
Work through it in one sitting if you can. Quotes found in a second sweep are usually copies of ones from the first.
Your ticks stay in this browser tab and are not sent.
What to do with each kind of quote you find
In StoryProof
Move them into StoryProof
- 1
Upload the spreadsheet
Match columns on upload. Only the name is required.
- 2
Add the video originals
Upload clips separately from the files, not exported from slides.
- 3
Tag by source document
A tag for the deck or brochure each quote came from lets teams find their old favourites.
- 4
Request again where the trail ran out
Email the customers behind untraceable quotes and ask for a fresh testimonial through the link.
- 5
Approve what is cleared for public use
Approve only the quotes cleared for the website, then choose which each widget shows.
What happens next: Tell every team that new decks take quotes from the library, not from old decks. That stops the versions drifting again.
Before you start
Before you start
What this does not cover, and what to check on your side. Better to know now than after launch.
- 01
There is no document import
StoryProof does not read PDFs or slide files. You copy quotes into a spreadsheet, then upload that.
- 02
Imports use your allowance
Imported testimonials count toward the same monthly allowance as collected ones, so a large archive may take more than a month.
- 03
Untraceable quotes stay out
A quote you cannot link to a real person should not be imported as a testimonial. Ask for a new one instead.
- 04
Old documents keep their copies
Importing does not remove quotes from the files they came from. Update or archive those files yourself.
FAQ
Questions people ask
Short answers to what usually comes up next.
Can I upload a PDF and have StoryProof pull the quotes out?
No. Copy the quotes into a spreadsheet with a column for each field, then upload the spreadsheet.
Which version should I keep when a quote differs between files?
The customer’s original wording. If you cannot find it, send them the version you prefer and ask whether it is accurate.
Do deck quotes need fresh consent for the website?
If they were given for a private presentation, yes. Ask before approving them for public pages.
Should sales keep using their own decks?
They can keep the decks, but take quotes from the library when building them so every team uses the same agreed wording.
Still have a question? Ask the StoryProof team or book a demo.
One library instead of ten decks
Trace your quotes once, import the keepers and let every team draw from the same place.
