Event Planner and Caterer Testimonials

The guests ate the food and enjoyed the evening, but they did not hire you. The person who did, the office manager, the head of marketing, the family who hosted, is the testimonial your next client needs to read. Enter the event date and get a plan for asking the booker, not the room.

  • Asks the person who booked you
  • Waits until the invoice and the feedback are in
  • Comes back before next year’s booking

The problem, solved

Why bookers rarely leave testimonials, and how StoryProof gets them

The people who hire event businesses are busy, often part time event organisers with another job to do.

Situation 1 of 5

Our quotes come from guests, not clients

"The canapés were lovely" helps a little. "They kept us on budget and handled every supplier" is what a prospective client is looking for.

How StoryProof solves it

Add the booking client as a contact and email the request to them, with a question about the planning rather than the party.

After the event planner

Plan the asks from the event date

Enter the date of the event. The plan gives the booker time to recover and hear from their colleagues, then comes back before the next booking cycle.

  1. Day +1

    Thank the client, ask nothing

A short personal thank you to the booker. Note anything they said on the night that would make a good testimonial.

  2. Day +4

    Send the request

Ask about the planning: the brief, the budget, supplier wrangling, and how the day ran. Mention one detail from the event.

  3. Day +7

    First reminder

On a plan with automations this goes only to bookers who have not answered.

  4. Day +11

    Last reminder

The final automated nudge. After this, leave it.

  5. Day +21

    Confirm the credit line

For corporate clients, send the approved quote back and ask how the company and person should be named.

  6. Day +300

    Before next year’s event

For annual events, check in about next year and invite a short video about why they would book again.

Dates are calculated in your browser. Nothing is stored.

Prompts

Ask about the work they paid for

Guests judge the evening. The booker can judge everything that made it happen.

For a corporate booker

  • What did you not have to worry about because we handled it?
  • How did the day compare with what you briefed?
  • What did your colleagues say afterwards?

Leave out

  • Questions about the venue or speakers you did not provide

For a caterer’s client

  • How did we handle dietary needs?
  • What did guests say about the food?
  • How did the service team fit into the event?

For a private host

  • What would you tell a friend planning a similar event?

Leave out

  • Asking a host for a testimonial in front of their guests

In StoryProof

Run it after every booking

  • You will need
  • The booking client’s email address
  • Your list of services and event types for tagging
  1. 1

Add the booker after the event

One contact per booking, grouped by event date, so each request goes on the right day.

  2. 2

Email the request and let reminders run

StoryProof sends the link by email; on a plan with automations, two reminders follow if needed.

  3. 3

    Approve, tag, place

Approve once the credit line is agreed, tag by service and event type, and choose the testimonials for each service page.

  4. 4

    Send the thank you

From Pro, a thank-you email with a link to their testimonial can go two hours after approval.

What happens next: Keep a note of corporate clients who agreed to be named. They are often happy to be a reference for the next big pitch too.

Before you start

Worth knowing before you start

What this does not cover, and what to check on your side. Better to know now than after launch.

  1. 01

    No booking system link

StoryProof does not read event dates from your booking or catering software. You add the booker and the date.

  2. 02

Food photos stay in your gallery

The collection link takes video, written and audio testimonials. Event photography belongs in your own portfolio pages.

  3. 03

Guests in a video need to agree

If a booker records a clip that shows their guests or staff, check before you publish it.

  4. 04

    Email only

Requests and reminders go by email. A booker you mostly speak to by phone can be sent the link after the call.

FAQ

Questions people ask

Short answers to what usually comes up next.

Should I ask guests as well as the client?

You can, but keep the two apart. Guest comments speak to the atmosphere; the booker speaks to the planning. A prospective client mostly wants the second.

How do I get a testimonial from a corporate client who has to ask permission?

Ask for the testimonial first and the name second. Once they have written it, most will ask their comms team for you, especially if the event went well.

What if the event had a problem on the day?

Speak to the client before sending anything. A testimonial about how you handled the problem can be more convincing than one about a flawless night.

Is it worth asking for annual events every year?

Once is enough for the testimonial. Coming back before the next booking is for a fresh video or an updated quote, not a repeat request.
