For residential property managers and letting agents
Property Management Testimonials by Lease Stage
A property manager has two sets of customers who want different things. The owner wants the unit let and the rent paid; the tenant wants repairs done and a reply when they call. Each is happy, or not, at a different point in the lease. Enter the lease start date and get a plan that asks each of them when they have something to judge.
- Owner and tenant asked at different moments
- Kept on separate pages for separate readers
- Unhappy tenants flagged, not published
The problem, solved
Where property management testimonials go wrong, and how StoryProof sorts them
Situation 1 of 5
Owner and tenant quotes in one block
A landlord comparing managers reads a tenant thanking you for a quick boiler repair, which is nice, but not what they are buying.
How StoryProof solves it
Tag every testimonial as owner or tenant, and choose which ones appear on your landlord services page and your rentals page.
Situation 2 of 5
We only ask when we remember
Asks happen when someone is in a good mood, which means owners after a quick let and almost never tenants.
How StoryProof solves it
Add owners and tenants as contacts when the lease starts and send each request by email on the dates in the plan below.
Situation 3 of 5
Tenants answer with a repair complaint
Ask a tenant how things are and an open repair comes back. That needs fixing, not publishing.
How StoryProof solves it
From Pro, a rating of 2 stars or fewer alerts your team at once and sends the tenant a personal apology email.
Situation 4 of 5
A testimonial mentions a unit address
Owners and tenants sometimes name the street, the rent or another tenant. None of that should appear on your website.
How StoryProof solves it
Nothing goes public until you approve it, so a person checks for addresses and personal details before any testimonial is shown.
Situation 5 of 5
Owners ignore anything that is not a statement
Landlords open the monthly statement and little else from you.
How StoryProof solves it
From Pro, two reminders follow the first request and stop as soon as the owner replies.
Lease cycle planner
Plan owner and tenant asks from the lease start
Enter the date the tenancy begins. Each ask is labelled with who receives it, and timed to a point where that person has something concrete to judge.
Day +21
Tenant: move in experience
Ask the tenant how viewing, paperwork and move in went. They remember it clearly and it is what the next applicant worries about.
Day +45
Owner: first statement received
Once the owner has had a full month’s statement and rent, ask how letting the property with you has gone.
Day +120
Check open repairs
Before any further asks, check the tenant has no open maintenance request. If they do, fix it first and move the next date.
Day +180
Tenant: living there
Ask the tenant about repairs, responsiveness and communication now they have lived there half a year.
Day +300
Owner: ahead of renewal
Before renewal talks, ask the owner about the year: rent collection, inspections, how problems were handled. Invite a short video.
Day +345
Tenant: renewing
If the tenant renews, ask why they are staying. A renewing tenant is the strongest proof for the next applicant.
Dates are worked out in your browser from the start date. Nothing is saved.
Two audiences, two pages
Each set of testimonials answers a different reader’s question. Keep them where that reader looks.
In StoryProof
Run it across your portfolio
- You will need
- Lease start dates and contact emails for owners and tenants
- A rule about never publishing addresses or rents
- 1
Add both parties when the lease starts
Add the owner and tenant as contacts and tag each as owner or tenant.
- 2
Send requests on the planned dates
StoryProof emails the link; on a plan with automations, reminders follow. Tenants can write, record a video or leave a voice note.
- 3
Read, approve and route
Approve after removing addresses and names of other tenants, then show owner testimonials on the landlord pages and tenant testimonials on the rentals pages.
What happens next: Run the plan again at each renewal. A second year testimonial from an owner says more than a first.
Before you start
What StoryProof does not handle
What this does not cover, and what to check on your side. Better to know now than after launch.
- 01
No property software link
StoryProof does not read lease dates or maintenance tickets from your property management software. You add contacts and pick dates.
- 02
Fair housing and tenant rules are yours
Rules on advertising rentals and on treating applicants fairly vary by country and state. Nothing here replaces them.
- 03
Do not tie the ask to the deposit
Never suggest a testimonial affects a renewal, deposit or repair priority. Keep the ask clearly optional.
- 04
Email only
Requests go by email. Tenants who prefer messaging can be sent the link by hand.
FAQ
Questions people ask
Short answers to what usually comes up next.
Should property managers ask tenants for testimonials at all?
Yes. Prospective tenants read them, and owners like seeing that tenants are treated well, since happy tenants stay longer.
Can we ask a tenant who is leaving?
If they are leaving on good terms, after the deposit is settled. Never ask before the deposit is returned.
Should owner testimonials mention the rent achieved?
Generally no. Specific rents date quickly and can identify the property. "Let within two weeks" is safer than a figure.
What if a tenant gives a poor rating?
Treat it as a maintenance or service issue, contact them and fix it. Do not publish it as a testimonial, and do not pressure them to change it.
